How to choose a Wedding Planner in Melbourne and what to actually look for when planning a wedding as is one of the most exciting things you’ll ever do.
It’s also, if we’re being honest, one of the most overwhelming. There are venues to compare, suppliers to vet, timelines to build and about a hundred decisions to make before you have even chosen your flowers.
That’s where a Wedding Planner comes in. But with so many options in Melbourne, how do you know who’s actually right for you?
Here’s what I would look for and what I would run from:
Do they have real hospitality experience or just event experience?
There is a difference between someone who has styled a few events and someone who has spent years working inside five star hotels, managing suppliers, running timelines and handling the things that go wrong behind the scenes.
Hospitality experience means your Wedding Planner understands how venues actually operate. They know how to talk to a Head Chef, how to read a runsheet and how to stay calm when the florist is 45 minutes late and the celebrant needs a microphone that nobody ordered.
When you’re interviewing planners, ask them where they have worked, not just what events they have planned.
Do you actually like them?
This sounds obvious but it’s probably the most important thing on this list.
You are going to spend months working closely with this person. They will be in your inbox, on your phone and standing next to you on one of the most important days of your life. If something feels off in the first meeting, trust that feeling.
The best planner in Melbourne is useless if you don’t click with them.
Do they understand the difference between planning, styling and coordination?
A lot of couples don’t realise these are three different things and not every Planner offers all three.
– Full planning means your Wedding Planner handles everything from the budget to the suppliers to the styling from day one.
– Styling means they will focus on the visual direction of your even, designing the look, feel and atmosphere through elements like florals, furniture, colour palettes and overall aesthetic cohesion. They will not manage logistics, timelines, budgets or supplier coordination.
– On the Day Coordination means that they steps in closer to the event to manage logistics, timelines and supplier execution, making sure everything runs smoothly on the day so you don’t have to. They will not design the overall aesthetic or handle full planning from the start.
Be clear on what you actually need before you start comparing prices. A coordination only package will always be cheaper than full planning but if you need someone in your corner from the start, coordination alone won’t cut it.

Are they across current Melbourne venues?
Melbourne’s event and wedding venue scene changes constantly. New spaces open, old ones close and the best hidden gems rarely show up on the first page of Google.
A Wedding Planner with strong industry relationships will know which venues are genuinely special, which ones overpromise and which ones suit your guest numbers and budget. That insider knowledge alone can save you weeks of research.
What happens when things go wrong?
They will. Not always dramatically but something will shift on the day. A supplier will run late. The weather won’t cooperate. A guest will need something nobody planned for.
Ask your Planner how they’ve handled things going wrong in the past. The answer will tell you everything about how they operate under pressure.
Red flags to watch for:
– There is no clear breakdown of what’s included in their package
– They’re vague about supplier relationships or commissions
– Silence sets in between meetings and are slow to respond
– They haven’t actually worked at or inside a venue, only alongside them
– They push you toward suppliers before understanding what you actually want
The right Wedding Planner doesn’t just execute your vision, they protect it. On the day, they are the person standing between you and every problem that tries to find you. Choose someone you trust completely.
